As we come closer to the end of the financial year, many organisations are taking stock: reviewing budgets, refining strategies, and setting fresh goals. For purpose-driven organisations, this is also the perfect time to sharpen your grant-seeking approach. Whether you’re a seasoned grant seeker or just starting out, a proactive reset now can mean the difference between scrambling for deadlines and confidently submitting compelling, funder-aligned proposals.

Here’s how to position your organisation for grant success in the year ahead.

1. Revisit Your Strategic Priorities

Before diving into your grant calendar or application templates, take a step back. What are your organisation’s priorities for the next 12 months? Are you scaling a program, launching a new initiative, or consolidating existing work?

Aligning your grant-seeking efforts with your strategic goals ensures that funding supports your mission. Funders want to see clarity, focus, and alignment with community needs in your proposals. A strong strategic plan gives you the foundation to tell that story with confidence.

2. Refresh Your Grant Opportunity Tracker

A well-maintained grant tracker is an invaluable tool for grant success. Use the new financial year as a prompt to:

  • Archive completed or unsuccessful applications
  • Update deadlines and opening dates for cyclical or recurring grants
  • Add new opportunities aligned with your evolving priorities, and
  • Flag multi-year grants for prospective renewal or acquittal planning.

If you’re not already tracking funder priorities, past recipients, eligibility criteria, and reporting requirements, start adding these in. It’ll save you hours down the line and help avoid wasting time on the wrong opportunities.

3. Review Your Grant Readiness

Many organisations miss out on funding not because their work isn’t impactful, but because they’re not grant-ready. A quick audit can help you identify gaps and get ahead:

  • Is your reporting current?
  • Do you have up-to-date financials and annual reports?
  • Are your program outcomes clearly defined and measurable?
  • Do you have recent testimonials, case studies, or evaluation data?

4. Build a Library of Core Content

Grant writing is easier when you’re not starting from scratch every time. Create a library of reusable content that can be tailored to each application:

  • Organisational overview (mission, history, purpose)
  • Program descriptions with clear evidence of need and outcomes
  • Case studies or impact stories
  • Staff bios and governance details, and
  • Budget templates and cost breakdowns.

This content library becomes your launchpad, saving time, ensuring consistency, and allowing you to focus on tailoring your message to each funder.

5. Strengthen Your Evidence Base

Funders want to know that your work is grounded in evidence and delivering real impact. Use this time to:

  • Review your data collection methods
  • Update statistics or community needs assessments
  • Gather feedback from participants or partners, and
  • Identify gaps in your evaluation approach.

If you’re planning to scale or replicate a program, consider commissioning a light-touch evaluation or theory of change. It doesn’t have to be complex, but it should demonstrate that you’re learning, adapting, and delivering value.

Don’t think evidence is crucial to a winning grant application? Put yourself in the assessor’s shoes. If you were comparing two applications and one included compelling evidence, while the other didn’t, which one would you back?

6. Deepen Relationships with Funders

Grant success isn’t just about writing; it’s about relationships. Use the start of the new financial year to reset how you plan to:

  • Reach out to funders you’ve worked with before
  • Introduce your organisation to new funders aligned with your mission
  • Attend webinars, briefings, or networking events, and
  • Subscribe to funder newsletters and updates.

Funders are more likely to support organisations they know, understand, and see as proactive partners.

7.  Plan for Capacity and Collaboration

Do you have the internal capacity to deliver on your grant goals? Are there partners who could strengthen your proposal or extend your reach? Consider how to:

  •  Identify delivery partners or referral networks
  • Clarify roles and responsibilities for grant delivery
  • Build in time for co-design or community consultation, and
  • Embed shared measurement or evaluation frameworks.

8. Set a Grants Calendar - and Stick to It

Map out your grant year. Identify key deadlines, internal review dates, and submission windows. Build in time for:

  • Drafting and internal review
  • Budget development and approvals
  • Graphic design or formatting (if needed), and
  • Final proofreading and compliance checks.

A clear calendar helps you avoid last-minute scrambles and ensures you’re submitting your best work (not just your fastest).
